3. How we collect personal data

We collect personal data through the following methods:

  • Web forms
When you request a template or subscribe to the newsletter, you submit data through forms. Each form includes a consent checkbox and a link to this Privacy Policy describing how we use your data.
  • Cookies and similar technologies
We use cookies and local storage to remember your cookie preferences and, if you allow analytics or marketing, to measure site performance and improve content relevance.
  • Analytics tools
If you opt in to analytics cookies, we may use tools such as Google Analytics 4 to understand which pages are most useful and where visitors get stuck.
  • Server logs
Our hosting infrastructure may log technical data such as IP address, requested pages, timestamps, and error logs for security and reliability.
  • Direct communications
If you email us, we will receive your email address and any information you choose to include in the message. Please avoid sending sensitive information by email.

We do not use hidden forms, deceptive data collection, or any technique intended to collect personal information without a clear explanation. If we add new collection methods in the future, we will update this policy and, where required, ask for new consent.

5. Purposes of processing

We use personal data to operate and improve Singecloud. Our main purposes include:

Deliver resources you request

Send the scalable business model template or other educational materials you request, and provide relevant follow-up emails if you opted in.

Customer support and communications

Respond to inquiries, troubleshoot issues, and handle requests related to privacy, consent, or data deletion.

We do not sell personal data, and we do not share personal data with third parties for their own direct marketing without your explicit consent.

6. Retention periods

We keep personal data only as long as necessary for the purposes described in this Privacy Policy, unless a longer period is required or permitted by law. Our typical retention periods are:

Retention schedule (typical)
These periods may vary if needed to resolve disputes, meet legal obligations, or enforce our Terms of Service.
Form submissions (template requests)
Up to 2 years from the last interaction, unless you unsubscribe or request deletion sooner.
Newsletter subscribers
Until you unsubscribe, then up to 30 days to complete processing and suppression list updates.
Analytics data
14 months (typical), depending on configuration of analytics tools and your cookie preferences.
Server logs
Up to 90 days for security, debugging, and reliability monitoring.
Quiz results stored on your device
Until you clear browser storage or use a delete option on the quiz page. This data is stored locally on your device, not in our servers by default.

When retention periods expire, we delete or anonymise personal data in a secure manner. If you ask us to erase your data earlier and we have no overriding legal reason to retain it, we will do so.

7. Data sharing, processors, and “no sale” policy

We may share personal data with service providers that help us run the website and deliver communications. These providers act as processors on our instructions and are required to protect personal data. Categories of processors may include:

Hosting and infrastructure

Website hosting, content delivery, and security monitoring services that process IP addresses and request logs to serve pages and protect against abuse.

Email delivery and newsletter platform

An email service provider used to send newsletters and requested templates. The provider processes your email address and subscription status (including unsubscribe requests).

Analytics provider

If you enable analytics cookies, analytics platforms such as Google Analytics 4 may collect usage and device data to produce aggregated reporting.

Advertising measurement

If you enable marketing cookies, tools such as Meta Pixel may measure ad performance and support audience building for relevant educational campaigns.

We do not sell personal data

Singecloud does not sell personal data to third parties. We share data only as needed to operate the site, deliver requested communications, comply with law, or protect our legitimate interests.

We may disclose personal data if required to comply with a legal obligation, protect our rights, investigate suspected fraud or security incidents, or respond to lawful requests from public authorities.

8. International data transfers

Singecloud is based in the United Kingdom. Some of our service providers may process personal data outside the UK or European Economic Area (EEA), including in countries that may not provide the same level of data protection.

When personal data is transferred internationally, we use appropriate safeguards. Depending on the transfer, safeguards may include:

  • Standard Contractual Clauses (SCCs) or UK International Data Transfer Addendum, as applicable
  • Adequacy regulations or decisions where the destination country is recognised as providing adequate protection
  • Additional technical and organisational measures where appropriate, such as access controls and minimisation

If you would like more information about the safeguards used for a particular transfer, contact us at [email protected].

9. Your rights under GDPR (and UK GDPR)

Subject to applicable law, you have the following rights regarding your personal data:

Right of access

You can request confirmation of whether we process your personal data and obtain a copy of the personal data we hold about you.

Right to rectification

You can request correction of inaccurate personal data and completion of incomplete personal data.

Right to erasure

You can request deletion of your personal data where there is no lawful reason for us to keep it. This includes the option to unsubscribe from the newsletter and request deletion of associated records.

Right to restriction of processing

You can request that we limit processing of your personal data in certain situations, such as if you contest accuracy or object to processing.

Right to data portability

Where processing is based on consent or contract and carried out by automated means, you can request a copy of your personal data in a structured, commonly used format.

Right to object

You can object to processing based on legitimate interests. If you object, we will stop processing unless we have compelling legitimate grounds or the processing is required for legal claims.

Right to withdraw consent

If we rely on your consent (for example, newsletter emails or optional cookies), you can withdraw it at any time. Withdrawing consent does not affect the lawfulness of processing before withdrawal.

How to exercise your rights

Email [email protected] with your request. To protect your privacy, we may ask for information to verify your identity. We will respond within the timeframes required by law.

If you are subscribed to the newsletter, you can unsubscribe using the link included in every email. Unsubscribing stops marketing emails, but we may retain a minimal suppression record to ensure we respect your opt-out.

Right to complain

If you believe our processing of your personal data infringes data protection law, you have the right to lodge a complaint with the UK supervisory authority: Information Commissioner’s Office (ICO), Wycliffe House, Water Lane, Wilmslow, Cheshire, SK9 5AF, United Kingdom. Website: ico.org.uk.

We encourage you to contact us first so we can address your concerns directly.
